Office Manager - Full-Time

CornerPost Marketing, a creative agricultural-based marketing and communications agency in Fort Dodge, Iowa, is seeking an ambitious, attentive and detailed Office Manager to support the team and growth of the agency at their Fort Dodge office.

The Office Manager will play an integral role in supporting ownership in bookkeeping, financial management and other clerical office administration. They will also work closely with the Account Services Team and vendors to ensure proper invoicing and payments. The office manager will be depended on to manage the day-to-day needs of the Fort Dodge office to ensure organizational effectiveness and efficiency. It is expected that the office manager will also serve valuable roles in client projects, helping in the areas of project management, fulfillment and even creative as applicable. The position will also work directly with many team members and vendors but will be depended on highly by leadership.

The successful office manager is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office team and clients. They will have a proactive attitude, excellent people skills and a sincere interest in success and growth of the agency and clients.

Key Administrative Responsibilities:
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
  • Organize and schedule meetings and appointments
  • Partner with HR to maintain office policies as necessary
  • Coordinate digital subscriptions and team collaboration programs
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
  • o Manage contract and price negotiations with office vendors, service providers, and office lease
  • Provide general support to visitors
  • Support ownership with organizing and scheduling meetings and appointments, business operations, contracts or agreements, and budgeting
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and that clerical functions are properly assigned and monitored
  • Establish a historical reference for the office by outlining procedures and processes
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Assist in providing orientation and training to new employees
  • Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals, and reviewing of industry publications
  • Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise
  • Participate actively in the planning and execution of company events
  • Ensure filing systems are maintained and current & establish and monitor procedures for record-keeping
  • Ensure security, integrity, and confidentiality of company records
  • Monitor and maintain office supplies inventory
  • Maintain a safe, secure, and pleasant work environment
Client Relations & Project Management:
  • Coordinate alongside account team the implementation or management of client projects
  • o Includes leading internal teams and outside services or contractors
  • o Facilitate and schedule meetings
  • o Administrative duties such as reports, project documentation, client billing, emails and phone calls
  • o Remain detail-oriented and highly organized with the ability to oversee internal teams, delegate tasks, manage print production, and assist with general account administration including budgeting and billing
  • Strengthen client relationships through support of the account team and professional representation of CornerPost
  • Manage project fulfillment via project management software
  • Continually seek new ideas and ways of improvement, betterment and evaluations for CornerPost, clients and self

Travel: Some travel will be necessary for projects, client meetings and events. Mileage will be reimbursed at the regulated rate. Other travel costs are normally covered by the employer.
